Cash plan

Deleting old information

To keep an appropriate balance between having current histories and removing data deadwood from cash plans, it is recommended that in January each year you delete information that is more than twelve months old. Doing so will keep historical info in your cash plans readily available for the past 12 to 24 months.

Deleting old information annually is recommended, but is not required. If, when, and how much old information you decide to delete is entirely up to you. The process of deleting old information in each cash plan takes a few seconds.

Plan admin menu

Start by opening the Plan admin menu and clicking on Delete old information.

Backup reminder

If the backup reminder option is turned on, in the Backup Reminder message box either click on the Yes button to take a backup of the open cash plan or click on the No button.

Delete old info message box

In the Delete Old Info dialog box:

  1. Before deleting old information, you can take a historical backup of a cash plan. Put a historical backup in a place other than where you keep your normal backups. While your old information can be restored from a historical backup, the worth of an old cash plan spreadsheet deteriorates very quickly since it is date-sensitive. However, all event data in an historical backup is available.
  2. Select the number of months of current information to keep. Deleting old information on any day in January and keeping 12 months of information is recommended.
  3. Click on the Go button.

After deleting old information, it is advisable to immediately take a backup of the cash plan.
